Rhinebeck Web Committee Meeting Minutes
June 12, 2008
Town Hall at 6:30 pm.
Agenda items, as addressed:
1. Introduction to Andrea Pyros
Andrea presented her strong background in writing and web management.
Team members presented a brief review of Drupal- the content management system that drives the website- and its advantages. Team members Dave, Andy, Kathy and Bruce gave brief summaries of their backgrounds and contributions to the committee.
2. Andy email recommendation and thoughts
∑ Andy presented his comparison of mail management tools.
∑ Constant Contact and MailChimp were highlighted as the best choices.
∑ Demo accounts will be set up for committee review.
∑ Alex will be asked for his opinion and experience with mail management.
∑ Andy will send messages to the committee members.
Andy presented an evaluation of tools for managing Town and Recreation Committee lists. He provided a Rhinebeck Town/Village Email Newsletter Tool Evaluation handout.
The evaluation compared third party vs. Drupal-integrated tools. It was quickly apparent that Drupal-integrated plug-ins were not sufficient, particularly due to lack of features, reliability and protection issues, and the inability to prevent blasts from being seen as spam.
The best choices were Constant Contact and MailChimp. Both have similar features and pricing, although Constant Contact seems to nickel-and-dime the user, and MailChimp appears to have a better trial.
Alex will be asked for his input on the subject.
Discussion about budgeting, and how to pay for the several hundred dollars required, followed. Kerri and Andrea reviewed how email is currently generated and sent.
Bruce suggested that the Committee draft a memo and present it to the town board detailing the request for funding for the e-mail program.
3. Privacy and Subscription Policy Review
∑ The policy will be made available to public and Board for review prior to vote.
∑ Look up Google Analytics Terms of Service.
The need for another lawyer to review the policy was discussed. Kathy recommended that it be given to the Town Board to review/accept. Bruce advised sending a soft-copy before the meeting, after lawyers, so that the board may simply vote, not debate. Kerri will post the policy for community review.
Kerri will provide Bruce with a clean copy. Bruce advises putting the policy on the website for a month.
Subscription Policy. Committee accepts Town Attorney changes. Kerri will post to Web site and circulate to Town Board of review and a vote during July Town Board meeting.
4. Minimum requirements for web developers.
The Rhinebeck Tech Committee accepts the "minimum requirements" for web developers list and will advise/contribute to it by mailing the list to members. The committee does not choose to defining the tools to use, or enforcing the choice.
5. Kathy: Homepage Tweaks
Kathy would like a short welcome/description for the home page. She will draft copy and circulate to the team.
6. Kerri: Update on Calendar System
The recent updates to the site threw the calendar displays off. The calendar was taken down temporarily and fixed. We now can sort the calendar by committee. Joan double-checked and corrected the Town Board calendar.
7. Andy: State Alert System
Andy suggested we look at the State Alert System, http://www.nyalert.gov/, for our site. Possibilities include a simple link from related links or porting an RSS feed (though the alert system does not get more granular than Dutchess County; too many alerts not related to Rhinebeck). Kathy finds the system a little slow. Andy suggests link to sign up for the list. Where should the link be? Community Links.

8. What Alex is Working On
Alex will be working on new content types and displays for the site - FAQs, rates and fees, forms and applications.
